December Council Minutes

December 28th  2009 / A.S. XLIV

Sizzler

1010 Postal Way, Springfield

Baron Tadhg: Hoped that everyone was having a happy holiday season, and wished us all a happy New Year.

The word for December had been Feudalism. Under this system, nobility granted land and protection to their vassals in exchange for service, either military or monetary. The word itself, however, did not come into existence until long after the Middle Ages. As landed nobles, Their Excellencies pledge protection as part of Their duties to those who swear fealty to Them. What this means is that, if you are having trouble in the SCA, Their Excellencies have become another person that you can turn to for help, and to vouch for you if necessary. (This of course presumes that you are playing by the rules and doing everything that you should be doing!) The word for January will be: Liege.

Baroness Morrghan:.Was happy to see Reina back at Council after a long hiatus, but was sad to hear that Katriona had passed on. Lady Katriona had touched her heart when she was young, and she hopes that those who knew Katriona will help to keep her spirit alive. Their Excellencies plan to attend Midwinter's...and part of what that means is that they want to give out awards to people! So, if you know of someone who is being creative, helpful, or just generally awesome, let Their Excellencies know!

Ceridwen: Hoped for everyone to have an enjoyable and safe New Year's Eve...she wants to see all of us again through all of this next year.

Old Business

Budgets: The Officers who had not been present at last Council were now either present, or had submitted their reports and requests prior to Council, so that we could review and vote on them.

A & S: Alysaundre is fine with not having a budget, but he would still like to find a space for quarterly A & S Socials. This will cost money, and he would like to recoup the cost as much as possible from donations by attendees. If need be, he will approach Council when the time comes to request funds. Reina suggested that the Catholic Church on G St. has room for such activities, and usually doesn't charge.

Herald: Angharad doesn't need a budget; she will research any books that might be needed, and when the time comes, she will approach Council to request funds.

Librarian: Alysaundre does not foresee needing a budget.

Scribe: Ariana requested $50 for paper. Council unanimously approved this. Marian offered that, if Ariana hits the U of O bookstore when Raven is working, then Raven can use her employee discount to help lower the cost of supplies.

Thingmakers: Marian requested $100 for a budget. It was unanimously approved by Council.

Work Parties: Ambrose requested $100 + the cost of renting a single biffy for his budget. Council voted to unanimously approve this.

The total amount of approved budgets for 2010 is $795.

Ceridwen changed the order around a bit in order to accommodate people who had to leave early, switching over to new business for a moment to discuss changing to a new storage unit. Ceridwen's research has yielded that we can rent a 10 x 25 foot unit for $103/month, with 3 months included free if we sign a year's lease. There are no temperature-controlled units available at the time being, but she can check and see if we can be added to a waiting list for one. Until then, we would need to make arrangements with someone to lay the canvas of our pavilions out to dry, should they get wet at events. The units have not had moisture issues, and we can buy dessicants for normal storage needs. Rachel offered the use of her barn to lay the pavilions out for drying, if need be.

The storage facility is open from 7 am to 9 pm, and is only closed on actual holidays (such as Memorial Day). Management lives on site.

If we do make the switch, we will lose enough square footage that we will need to find an alternate storage spot for the trailer. However, in theory, with the money we are saving on storage fees, we could plausibly start saving for a new trailer at last.

Rachel requested that we switch to a month-to-month agreement with our current storage facility, and pay for two more months at that location, with the provision that, in the meantime, Forrest and the financial committee work to pick the location that will meet our needs the best. This motion was unanimously approved by Council.

Event updates:

March Coronet: Maeve needs to confirm numbers with Karis for the site deposit. She has arranged with the Cottage Grove Inn for group rates for anyone who needs to rent a room. William Cristofore can run the archery.

Midwinter's:  Angharad has 6 confirmed artisans to have displays – more are always welcome, and if you are interested in hosting a display or discussion, she would love to hear from you! She needs to purchase insurance through the diocese, but has money allotted in the budget for that. She will meet with Ceridwen to sign the necessary papers. Unfortunately, we won't be able to do the Bardic or Rapier championships there, and we can't do any messy demos.

Egils: The autocrats have discussed the 3 Pillars with Marian, and the budget for that will be the same. They are still looking for a provider for potable water. Reina and Iuri recommended checking with the National Guard for help with that.

12th Night: Yseult and Marian have made stained glass windows, a wall hanging, and gargoyles. Attendees will be able to start reserving rooms as of January 11th.

Officer Reports

Archery – This position is empty. If you are interested in holding this office, please contact the Seneschal.

A&S – Alysaundre: The classes for December had to be cancelled; he will tentatively schedule meetings for January, but if the weather is inclement, those will have to be cancelled as well. He advises anyone interested in attending the classes to call him prior to coming, to verify that his house is still accessible. His contact information can be found in 'Dates To Remember' at the front of this issue. He welcomes anyone interested in hosting A & S or sewing nights to contact him.

Chamberlain – Forrest: Nothing to report.

Chatelaine – Gabrielle and Johanna (NP): Nothing reported by 6 pm.

Chirurgeon is open; if you are interested in serving the Barony through this office, please contact the Seneschal.

Chronicler – Aesa: The Bear was sent off electronically on December 3. I received verification from Digr that they had been posted to the website on December 22nd. Print copies have been made, but  then I set them on my kitchen table, buried them and forgot them.Printing cost $4.60 and I estimate that postage will cost $4.40, for a total cost of $9.00. I have not yet contacted my superiors to verify just what the minimum requirements are for print copies, but I plan on doing this before the month is out. (I contacted the Kingdom and Principality Chroniclers on December 29th, when I was told that there is no minimum requirement of print copies for a branch. This should cut my operating costs in about half.)

Exchequer – Rachel: Things are going okay, though she is not looking forward to Domesday. She may have a deputy lined up for Egils.

Gold Key – Alys (NP): No report.

Herald – Angharad: The Baronial populace badge has been approved! She would like to hold an Ask-A-Herald Night in March. Until then, if you have any questions about name or arms submissions, you are welcome to contact her privately at any time.

Librarian – Alysaundre: Nothing to report.
